What is Sistem RPH?

Sistem RPH is an integrated lesson plan builder and submission system that helps schools manage weekly lesson planning, reviews, and records in one place.

Who is Sistem RPH for?

It is used by School Admins, verifiers, and teachers.

Do I need AI to use the system?

No. AI is optional. You can write lesson plans manually or use saved blocks from your subject library.

Can I use the system on mobile/tablet?

Yes. The system works on common screen sizes, but lesson planning is usually easier on a larger screen.

How to Use the System

School Admin
What is a School Admin?

A School Admin manages the school setup and staff access in Sistem RPH.

What does a School Admin do?
  • Assign staff roles and access in the dashboard (teachers, verifiers, and other staff roles).
  • Manage staff registration and keep the staff list updated when staff join/transfer.
  • Manage classes/class registration (where applicable).
  • Set weekly submission deadline (day/time) used to mark submissions as on-time/late.
  • Manage academic week setup so week numbering is consistent across the school.
  • Enable student data integration (if available) and link/import student data for easier student name selection.
Verifiers
Who are the verifiers?

Verifiers are appointed school leaders who review and approve weekly lesson submissions. Verifiers are typically:

  • Pengetua
  • Guru Besar
  • Penolong Kanan Pentadbiran
  • Penolong Kanan HEM
  • Penolong Kanan Kokurikulum
  • Penolong Kanan Pendidikan Khas
  • Penyelia
  • Ketua Bidang Bahasa
  • Ketua Bidang Sains/Matematik
  • Ketua Bidang Teknik dan Vokasional
  • Ketua Bidang Kemanusiaan
What do verifiers do?
  • Review a teacher’s weekly submission record.
  • Check lesson plans for completeness and quality based on school expectations.
  • Approve or reject submissions (and add notes when needed).
Primary and Secondary verifier
  • Primary Verifier (required): main person responsible for verification.
  • Secondary Verifier (optional): backup verifier when the primary verifier is unavailable.
Teachers
What do teachers do in the system?
  • Build lessons throughout the week (save as draft while working).
  • Use the subject library and saved blocks to build faster.
  • Submit at the end of the week (before the deadline).
  • Respond to verifier notes if changes are required.
Timetable and quick lesson building

Teachers from mainstream schools (SK/SJK/SMK) can add a timetable, and the timetable can be imported to the dashboard for quick lesson building.

Student name import (if enabled)

Teachers can import student names if the school admin enables the function and integration with the school’s existing system is configured (via API).

Subject Library and Lesson Building

What is the Subject Library?

The subject library stores reusable content and references used to build lessons faster and consistently.

Can blocks be shared among teachers?

Yes. Subject library content can be shared among teachers (depending on school workflow).

Can the subject library be exported and imported?

Yes. The subject library can be exported and imported to support backup, sharing, and setup.

Lesson Flow, Submission, and Status

How does the weekly flow work?
  1. Week is automatic (based on the school’s academic week setup).
  2. Teachers build lessons and save drafts during the week.
  3. Before the deadline, teachers submit the weekly record.
  4. Submission becomes pending for verifier review.
  5. Verifier approves or rejects (with notes when needed).
What do the statuses mean?
  • Not submitted: no weekly submission has been submitted yet.
  • Pending: submitted and waiting for verifier review.
  • Approved: accepted by verifier.
  • Rejected: not accepted; teacher should update and follow school process to resubmit.
  • Late: submitted after the school’s configured deadline.

School Transfer / Joining a New School

I moved to a new school. What should I do?

Get the new school’s join details from the new School Admin and join the new school in the system.

Will my old lesson plans be deleted when I transfer?

Typically, old records remain associated with the previous school for history/reporting. Access depends on permissions.

I joined the wrong school. Can it be fixed?

Yes. Contact your School Admin (or support) to correct membership.
